The Department of Documents and Correspondence is competent with the following:
Receive, deliver, classify and record incoming and outgoing mail.
Distribute the incoming mail to the concerned administrative units, by established regulations in this regard.
Secure the delivery of outgoing mail outside the Ministry, after encoding and recording it, by established regulations, in coordination with the concerned administrative units and authorities, after ensuring that all attachments thereto are complete.
Prepare and make ready the diplomatic pouch, and secure its dispatch to the representative missions in coordination with the competent authorities.
Receive the diplomatic pouch coming from the representative missions, and deliver its contents to the concerned administrative units and the competent authorities.
Organize the Ministry’s archive and preserve documents, according to the latest methods.
Make topical descriptions and classifications for documents and papers showing their elements and contents, develop topical indexes and save the same.
Archive records of delivery of documents and correspondence.
Retrieve data and information upon request.
Maintain research and studies related to the Ministry’s work.
Keep a copy of the documents of seminars, conferences and meetings related to the work of the administrative units of the Ministry.
Preserve the originals of all treaties and diplomatic documents related to them, as well as documents of ratification, acceptance or accession related to all international treaties to which the State is a party, in coordination with the competent administrative units.
Preserve the originals of the title deeds and contracts concerning the Ministry.
